1. Who we are

2. Processing your personal data
Personal data is information about an individual that can identify that person. It does not include data from which the identity has been removed (anonymous data). We aim to collect as little personal data as necessary to achieve our purposes.
We comply with data protection legislation, which requires the personal data we process to be collected only for valid purposes that we have explained to you; used lawfully, fairly and transparently; adequate, relevant and limited to what is necessary; accurate and updated where necessary; retained no longer than needed for the purposes communicated to you; and handled securely.

Description: recording and/or retaining security images or video. Purpose: security monitoring and prevention of fraud and theft. Legal basis: legitimate interest. Retention: a maximum of four weeks, unless the footage is evidence of an incident, in which case it is kept until the incident is resolved. Data: security camera images, date and time.
Customer appointments
Description: recording appointments on paper or electronically. Purpose: managing availability and calendars. Legal basis: contract. Retention: after the contract ends, for the limitation period and/or periods relevant to legal action. Data: work telephone number, work email address, customer name, date and time.
Delivering goods and/or services
Description: selling and/or delivering goods or services to customers. Purpose: ensuring correct delivery, enabling tracking and feedback. Legal basis: contract. Data: work telephone number, work email address, customer name, business address and property location.
Customer communications
Description: communicating with customers on paper or electronically. Purpose: ensuring good customer service. Legal basis: contract. Retention: after the contract ends, for the limitation period and/or periods relevant to legal action. Data: work email address, customer name, business address and correspondence.
Customer invoicing and accounting
Description: calculating fees or remuneration, invoicing and obtaining payment. Purpose: ensuring correct payment. Legal basis: contract. Retention: after the contract ends, for the limitation period and/or periods relevant to legal action. Data: customer name, VAT number, payment statements/customer account and business address.
Company website
Description: a company website accessible to customers, prospects and other third parties. Purpose: informing customers and prospects. Legal basis: legitimate interest. Retention: after the contract ends, for the limitation period and/or periods relevant to legal action. Data: personal email address, personal telephone number, work telephone number, electronic identification data, work email address, essential cookies, customer name, name of the party concerned and property location.
We act as controller for these activities. If you have consented to particular processing, you may withdraw that consent at any time. If you do not want your data processed, contact us so we can assess together whether a contractual relationship and continued use of our goods and services are possible.
We also process supplier data. We aim to collect, process and store only data that is genuinely necessary and that we are allowed to process in this way. Normally, this includes the names, work email addresses and work telephone numbers of our contacts, as well as suppliers’ VAT numbers. When we provide parking for supplier vehicles or admit them to our site, we may collect, process and store vehicle registration numbers and visit times if needed for organisational or security reasons. 3. Processing personal data on your behalf
The nature of our relationship makes it unlikely that you will ask us to process other people’s personal data. 4. Sharing personal data

Employee wages and remuneration
Purpose: ensuring correct pay or remuneration for all company stakeholders. Legal basis: legal obligation. Data: bank account, employee name, attendance at work, home address, employment start date, marital status, sick leave, salary and remuneration data, date of birth/age, leave and holiday days. Insurance
Purpose: properly handling the company’s liability. Legal basis: legitimate interest. Data: employee name, name of the party concerned and circumstances of the claim or case. Recipient: D’hondt Insurance NV.
Social media: Facebook and Instagram
Purpose: promoting the company and its services. Legal basis: legitimate interest. Data: photos/images, electronic identification data, electronic location data, customer name, date and time. Recipient: META PLATFORMS IRELAND LIMITED (formerly Facebook).
Social media: LinkedIn
Purpose: promoting the company and its services. Legal basis: legitimate interest. Data: employee name, photos/images, electronic identification data, electronic location data, date and time. Recipient: LinkedIn Ireland Unlimited Company.
IT support
Purpose: ensuring IT functions properly. Legal basis: legitimate interest. Data: personal email address, electronic identification data and customer name.
These third parties generally act as processors. Social media platforms, trading platforms and permanent sales partners are often considered joint controllers.
If you take part in an online conversation, meeting or conference, everything you share may be visible or audible to the other participants. Consider this before sharing personal data, video, audio or other information.
If you object to sharing your data, contact us so we can assess together whether a contractual relationship and continued use of our goods and services are possible. We may be legally required to process certain data and pass it to the relevant authorities. You cannot object to a transfer required by law.
5. Security and confidentiality
We aim to keep your personal data secure and confidential. We have established security procedures to prevent its loss, misuse or alteration. These procedures are functionally and technically consistent with industry best standards.
